Job Description

We have been in business for over 100 years and are the World’s Largest Entertainment Academy, working with children, teens, and young adults to pursue their dreams in Acting, Modeling, and Singing. We educate our clients and their families by building foundational skills and techniques, then provide invaluable industry connections by marketing our talent to top Agents, Managers, and Casting Directors.

We are seeking a highly organized and proactive Executive Assistant to support ownership and oversee daily administrative and operational systems. This is an in-person position based in the Itasca area.

This is not a front desk-only position. This role serves as a key operational function within the company, responsible for managing structure, communication, documentation, scheduling, and internal coordination.

We are searching for a detail-oriented, solution-driven professional with strong administrative and communication skills, and the ability to manage multiple priorities with consistency and accuracy.

Compensation starts at $19/hour, with higher starting pay considered based on experience.

HOURS ARE AS FOLLOWS:

Training Period (Part-Time):

Monday – Thursday: 1:00 PM – 6:00 PM

Upon Completion of Training (Full-Time):

Monday – Thursday: 10:00 AM – 6:00 PM

Saturdays: 9:00 AM – 4:00 PM

RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

  • Manage office staff, calendars, scheduling and priority coordination
  • Draft and manage professional email communication and internal documentation
  • Oversee enrollment documentation, contracts, and client records
  • Maintain accurate tracking of payments and organized filing systems
  • Serve as a professional point of contact for parents, clients, vendors, and contractors
  • Support internal operations, deadlines, and marketing coordination
  • Identify inefficiencies and assist in improving internal processes

REQUIREMENTS:

  • Strong organizational and time-management skills
  • Excellent written and verbal communication
  • Maintain a high level of professionalism and discretion
  • Ability to multitask and prioritize in a fast-paced environment
  • Detail-oriented with a high level of accuracy
  • Ability to work both independently and as part of a team
  • Comfortable managing multiple systems, schedules, and responsibilities

PREFERENCES:

  • Associates or Bachelor's degree in Administration, Business Admin or similar
  • 2+ years experience in executive support, operations, HR or administrative roles
  • Experience with email marketing systems, databases, or digital documentation platforms ( excel, google sheets, etc )
  • Experience in a client-facing or service-based business
  • Experience in the entertainment industry is a plus, but not required

This is a full-time position upon completion of training. Schedule is Monday through Thursday, with occasional Saturdays based on programming and events.
