Job Description

We’re currently seeking an Executive Assistant to play a key role in empowering our founding partners and supporting the vital functions of our business operations. The ideal candidate will be a proactive problem solver with exceptional communication skills, keen attention to detail, and a track record of working in dynamic office environments. This role requires someone who can work independently, adapt to changing priorities, and maintain confidentiality in a fast-paced, start-up atmosphere.

Responsibilities

  • Provide comprehensive administrative support to the founding partners, assisting with business and personal matters.
  • Manage complex scheduling for the partners, including coordinating meetings, handling calendar conflicts, and ensuring smooth appointment logistics.
  • Organize and coordinate travel arrangements (accommodation, transportation, meals) for business and personal trips.
  • Maintain professional relationships with key stakeholders, including investors, brokers, vendors, and other business contacts.
  • Safeguard the confidentiality of all company-related information and maintain discretion in sensitive matters.
  • Leverage AI tools (e.g. ChatGPT, Claude) to draft communications, summarize meetings, and streamline day-to-day administrative workflows.
  • Identify opportunities to automate repetitive administrative processes (calendar coordination, document generation, reporting) using AI and software tools.

Required skills and qualifications

  • A minimum of five years of experience in an executive administrative role, directly supporting C-level executives or partners.
  • Proficiency in Microsoft Office Suite, Adobe Acrobat Pro (including editing PDFs), ChatGPT, Claude, and Box for file sharing and collaboration.
  • Exceptional written and verbal communication skills.
  • Strong organizational and time-management abilities, with experience managing multiple projects simultaneously.
  • An ability to thrive in a fast-paced, ever-changing environment while maintaining high professionalism and fostering positive relationships with team members.
  • A professional demeanor, both in appearance and interactions, is essential.
  • Demonstrated ability to work independently, with a sense of urgency and accuracy, while adapting to changing priorities.
  • Strong digital literacy with the ability to quickly learn and implement new software and automation tools.
  • Comfort working with evolving technology in a fast-paced environment.
